Privacy Policy

1. Introduction

United Earth is committed to protecting your privacy and handling personal information responsibly.

This Privacy Policy explains what information we collect, why we collect it, who may access it, how long we retain it, and what rights you have.

The data controller is United Earth, a Norwegian association operating the United Earth initiative, including AGORA and its Earth Citizenship systems.

When Stiftelsen United Earth (the United Earth Foundation) takes over the initiative, the Foundation is intended to assume responsibility for its websites, services and associated personal information.

We process personal information in accordance with the General Data Protection Regulation (GDPR) and applicable Norwegian law.

2. What information we collect

The information depends on how you interact with our websites and services.

ECp claims (Option 1): When you register your support for establishing Earth Parliament and your intention to claim proto-Earth Citizenship (ECp), we collect your email address, birth year, continent, any optional geographical information, and records of your consent and email confirmation.

You can register from age 16. This registration does not create an account, grant ECp or confer voting rights.

ECp applications (Option 2): When you apply for ECp through a voluntary organisational role, we collect your contact and identity information, birth year, geographical information, requested roles, application details and records of verification, consent and approval.

Applicants must be at least 18 years old. ECp is a participation status, not formal membership of the United Earth association.

User accounts: We process information necessary to operate accounts, including login credentials, public names or aliases, participation records, roles and permissions. Private identity information is kept separate from public profile information.

Other activities: We may process information relating to communications, purchases, donations and payments, together with technical information such as IP addresses, access logs, device information and cookies.

3. Why we process your information

ECp claims and expressions of support

Registering support for Earth Parliament may reveal political opinions, which receive special protection under GDPR Article 9.

We therefore rely on your explicit consent under GDPR Articles 6(1)(a) and 9(2)(a) to record your support, store your registration details, confirm your email address and contact you when general ECp onboarding becomes available.

This registration expresses an intention to claim ECp. Only verified ECp holders are included in the count of verified Earth Citizens.

Registering does not constitute acceptance of the Participation Principles, which takes place during formal onboarding.

ECp applications and participation

We process applications to assess eligibility, verify identity and age, review requests for organisational roles and administer participation.

For application information that may reveal political opinions, we rely on explicit consent under GDPR Articles 6(1)(a) and 9(2)(a).

Other necessary processing, including account administration, technical security and financial obligations, may rely on contractual necessity, legitimate interests or legal obligations, as applicable. Processing of specially protected information additionally requires a valid condition under Article 9.

Other purposes

We also process information to operate our websites, respond to enquiries, complete transactions, maintain security and improve our services.

Optional newsletters, fundraising communications and marketing are separate from ECp registration and require an appropriate legal basis, including consent where applicable.

We do not treat an ECp registration as permission for unrelated marketing.

4. Who can access your information

Personal information is accessible only to persons and service providers who need it for authorised purposes.

Authorised volunteers may access information necessary to review applications, verify identity and age, and administer organisational responsibilities. Such access is limited to assigned tasks and subject to confidentiality requirements.

Technical and administrative service providers may process information on our behalf, including for hosting, email delivery, security and payment processing, under applicable data protection arrangements.

When Stiftelsen United Earth takes over the initiative, relevant personal information is intended to be transferred to the Foundation.

Both ECp registration processes expressly inform applicants about this planned transfer and request consent to continued processing for the same purposes. Affected individuals will receive updated information when the transfer occurs.

We may also disclose information where required by law or otherwise permitted by an appropriate legal basis.

Where personal information is transferred outside the European Economic Area (EEA), applicable GDPR transfer requirements and safeguards must be satisfied.

We do not make identifiable ECp claims or private verification records publicly available.

5. How long we retain information

We retain personal information only as long as necessary for its purpose or as required by law.

  • Unconfirmed ECp claims: Normally deleted after seven days if the email address is not confirmed.
  • Confirmed ECp claims: Retained while awaiting general onboarding, provided the purpose remains valid and consent has not been withdrawn. Continued retention is subject to review.
  • ECp applications and verification records: Retained as necessary to process applications, administer participation and document relevant decisions.
  • User accounts: Retained while necessary to operate the account and administer participation, with deletion or anonymisation when no longer required.
  • Financial records: Retained according to applicable accounting and tax legislation.
  • Communications and technical records: Retained only as long as necessary for their operational, security or legal purposes.

When consent is withdrawn, the processing covered by that consent stops. Relevant personal information is deleted unless another valid legal basis requires or permits limited retention.

6. Your rights

Under the GDPR, subject to applicable conditions, you may have the right to:

  1. Access your personal information and request corrections.
  2. Request deletion or restriction of processing.
  3. Object to certain processing activities.
  4. Receive or transfer certain information in a machine-readable format.
  5. Withdraw consent at any time.
  6. Exercise applicable rights concerning automated decision-making and profiling.

Withdrawing consent does not affect processing lawfully carried out before withdrawal. It may prevent us from continuing an ECp application or participation where the processing is necessary.

You can contact us to exercise your rights. ECp claim registrations may also be withdrawn through the registration management process.

You have the right to lodge a complaint with the Norwegian Data Protection Authority (Datatilsynet).

7. Cookies and website security

Our websites use cookies and similar technologies for functions such as login, security, language preferences and website operation. Other technologies may be used for statistics or additional services.

Cookies that are strictly necessary to provide a service requested by the user may be used without separate consent where permitted by law.

Other cookies and similar technologies requiring consent are subject to the Norwegian Electronic Communications Act, Section 3-15, and the GDPR.

You can also manage cookies through your browser settings, although disabling necessary cookies may affect website functionality.

8. Changes to this Privacy Policy

We may update this Privacy Policy when our services, organisational responsibilities or legal requirements change.

The latest version will be published on our website.

Significant changes will be communicated where required, including the transfer of responsibility to the United Earth Foundation.
